How do I understand the Auto Clock-In feature?
The Auto Clock-In feature can either automatically clock users in upon arrival or send them a reminder to do it manually.
Auto Clock-In Settings
All "Auto-Clock" features depend on the "Default Mode" for how they will notify the user. Take that into consideration as you change any of the auto-clock features.
Enable Auto Clock-In for Workers: Turns on all Auto-Clock features and is required for any of the items below to be turned on. This setting uses geofences per job address to clock the worker into a job when the employee arrives at the job site. If you want them to clock-in before they arrive, we recommend also turning on the Headquarters settings.
Enable Auto Clock-Out: Automatically clocks workers out when they leave a job site. Leave this off if you want to include things like drive time and job closure.
Default Mode: This configuration determines will be how the auto clock-in feature acts for workers by default.
- Fully Automatic: Once the worker arrives within the geofence for the job site they will be automatically clocked in to that job.
- With Confirmation: Once the worker arrives within the geofence for the job site they will receive a notification they can interact with, redirecting them to the app to clock in.
- Notification Only: Once the worker arrives within the geofence for the job site they will receive a notification reminding them to clock in. Tapping the notification opens the app.
Force Mode for All Workers: Workers cannot change their preference.
Restrict to Working Hours**: Auto Clock-In settings will be restricted to these configured hours.
Enabled Days**: Configuration of days the Auto Clock-In feature will be enabled.
**These settings restrict the Auto Clock-In feature to only work and send notifications in those configured times. However, this does not restrict the ability for workers to clock in manually outside of those times.
Default Geofence Radius: Default detection radius for new job sites (in meters).
Tip: 100 meters = ~328 feet.
That's a bit over the size of a football field.
Adjust your geofence to match your average job size.
Headquarters Location
This feature is perfect when you include the drive and prep time to the job in the labor budget. We highly recommend enabling these to de-incentivize long gas station trips or taking too long in mornings to get out the door.
Enable Headquarters Tracking: Turning this on will prompt employees to clock in when arriving to HQ. They can then choose a Job to clock into or a Non-Revenue category. The notification still behaves according to your Default Mode.
Headquarters Address: Default HQ address that will be used for the geofence. If you have multiple locations, then multiple organizations may need to be set up so each location has its own address.
HQ Geofence Radius: This distance determines the radius of the HQ.
We recommend adjusting the radius based on a few factors.
-
If GPS in your area is weak, keep the radius larger to give employees a margin of error to work within.
-
If a highway runs next to your location, make it a bit smaller to prevent drive-by clock ins.
- If a nearby hangout spot encourages your crew to clock in while not actually at location, consider making the radius smaller.
Auto Clock-Out on Evening HQ Arrival: Prompts workers to clock out when arriving to HQ.
Clock-Out Countdown: The amount of time provided after arriving to HQ before getting automatically clocked out. If the crew leaves before the countdown has finished, the app will clock them out at that time instead.
Auto-Switch Job Sites: Automatically switch jobs when arriving at a different job site.
